Invite teammates and set roles

Add people to your workspace, choose owner, admin or member for each, and understand what every role can do.

A workspace is shared: everyone in it sees the same leads, pipelines, sequences, inbox and credits. Each person has one of three roles, which decides who can change billing, compliance and team settings. This article covers inviting people, changing roles and removing access.

A seat is one person in the workspace. Pending invitations count toward your seats until they're accepted, revoked or expire. To add people beyond your plan's seats, upgrade, or on Agency add extra seats from Settings → Billing.

Invite a teammate

Owners and admins can invite people.

  1. Open members

    Go to Settings → Members. You can also press ⌘ K and type "Invite teammate".

  2. Start an invite

    Click Invite teammate.

  3. Enter their email and role

    Type their work email and choose Admin or Member. You can add several addresses at once, separated by commas.

  4. Send

    Click Send invite. They get an email with a link to join.

Invitations expire after 14 days. Until then they show under Pending invitations, where you can click Resend or Revoke. If the person already has an OmniLead account, the workspace appears in their workspace switcher once they accept. If not, they create an account from the invitation link, with email or Google.

Roles and permissions

Every workspace has at least one Owner. Owners and Admins manage the workspace; Members do the day-to-day work.

Members see a short explanation and the name of an owner to ask when they reach something their role can't do.

Change someone's role

  1. Open members

    Go to Settings → Members.

  2. Choose the new role

    Open the Role menu next to the person and pick Owner, Admin or Member.

  3. Confirm

    Click Change role. The change applies immediately, and it's recorded in the audit log.

Only owners can make someone an owner or change another owner's role. A workspace can have several owners, which is useful so billing never depends on one person.

Transfer ownership

To hand the workspace over, make the other person an owner first, then change your own role to Admin or Member, or leave the workspace. OmniLead won't let the last owner leave or step down, so a workspace always has someone who can manage billing and delete it.

Remove someone

  1. Find the person

    Go to Settings → Members and open the menu next to their name.

  2. Remove them

    Click Remove from workspace, then confirm with Remove.

They lose access at once. Everything they created stays in the workspace: leads, notes, sequences and conversations. Leads they owned keep their name as the owner until you reassign them with bulk actions. Mailboxes they connected stay connected, so running sequences keep sending; disconnect them in Settings → Mailboxes if the person is leaving the company.

To leave a workspace yourself, open your own menu in Settings → Members and click Leave workspace.

Several workspaces

You can belong to any number of workspaces and own up to five. Each has its own plan, credits, data and compliance settings, and nothing is shared between them. Agencies usually create one workspace per client so every client's postal address, suppression list and reports stay separate. Switch between them from the workspace menu at the bottom of the sidebar.

Can I invite someone outside my company?

Yes. Anyone with an email address can be invited. They see everything in the workspace, so give contractors the Member role.

Do members share credits?

Yes. Credits belong to the workspace. The credits meter shows the workspace balance, and the ledger shows who spent what.

Can I limit a member to certain lists or sequences?

Not today. Everyone in a workspace sees the same data. Use separate workspaces for data that must stay apart.
