Notes, tasks and tags

Record context with notes, plan follow-ups with tasks and due dates, and organize leads with tags you can filter and bulk-apply.

Notes hold what you learned. Tasks hold what you'll do next. Tags group leads so you can find them again. All three live on the lead profile and are shared with your workspace.

Notes

Add a note

  1. Open the lead

    Click the lead to open the drawer.

  2. Open Notes

    Click the Notes tab, or Add note in the header.

  3. Write and save

    Type your note and press ⌘ Enter, or click Add note.

Notes are plain text. You can also add a note from the lead pane in the inbox.

Edit or delete a note

Hover the note and click Edit note or Delete note. Click Save note to keep your changes.

Tasks

Tasks are follow-ups with an optional due date.

Add a task

  1. Open the lead's Tasks tab

    Or click Add task in the header.

  2. Describe the task

    Start with a verb: "Send deck", "Call about pilot", "Check grant eligibility".

  3. Set a due date

    Pick a date under Due, or leave it empty.

  4. Save

    Click Add task.

Where tasks show up

  • On the lead profile, in the Tasks tab
  • On the pipeline card, as the lead's next task
  • On Home, in the tasks widget, with overdue tasks marked Overdue

Mark a task done with its checkbox. Completed tasks move to the lead's activity timeline.

Tasks OmniLead creates for you

  • Grant deadlines: saving a grant to a pipeline creates a task due on the closing date.

Tags

Tags are short labels, such as "Warm intro", "Q4 target" or "Conference 2026". A lead can have any number of tags.

Add tags

  • One lead: under Tags on the lead, type a name in the tag field and press Enter. Pick an existing tag or create a new one. Click the × on a tag to remove it.
  • Many leads: select rows in a table, then choose Tag in the action bar. See Bulk actions.

Use tags

  • Enroll by tag: in a sequence, click Enroll leads and choose Tag.
  • Tag many leads at once from a table, then work with them as a group.

Manage tags

Tags are created the first time you use them. Removing a tag from every lead that has it takes it out of use; it doesn't delete the leads.

Source lens tags

Every saved lead also carries a source lens tag, such as Investors or Grants. You can filter by it but not remove it, because it records where the lead came from.
