Ramp-up and sending limits

Set daily caps, sending windows and gaps for each mailbox, ramp new mailboxes up gradually, and understand your workspace send cap.

Mailbox providers judge a sender by its behavior. A new mailbox that suddenly sends hundreds of emails looks like spam, even when every email is legitimate. OmniLead's sending limits make your mailboxes behave like careful people, not machines.

The limits on every mailbox

Open a mailbox in Settings → Mailboxes to set:

These limits apply across every sequence using the mailbox. Two sequences sharing one mailbox share its daily cap.

Ramp up a new mailbox

A mailbox with no sending history needs a few weeks to build a reputation. Turn on Ramp-up and OmniLead starts the mailbox at a low daily volume and raises it step by step until it reaches your daily cap.

  1. Open the mailbox

    Go to Settings → Mailboxes and click the mailbox.

  2. Turn on Ramp-up

    Switch Ramp-up on.

  3. Set the starting volume and step

    Choose how many emails to start with each day and how much to add each week. A cautious schedule is below.

  4. Set the target

    The ramp stops at the mailbox's Daily cap.

  5. Save

    Click Save. The mailbox card shows today's limit and when it next increases.

If replies are healthy and bounces stay low, you can move a little faster. If you see bounces or spam complaints, hold the current level for another week.

Why several mailboxes beat one busy one

To reach more people, add mailboxes instead of raising one mailbox's cap. Three mailboxes sending 40 a day each (120 in total) look far healthier to providers than one sending 120.

Select several mailboxes on a sequence and OmniLead rotates sends between them. Each mailbox keeps its own cap, window and gap. Follow-ups always go from the mailbox that sent the first email, so the thread stays intact.

Many teams send cold outreach from a separate domain, such as yourcompany.co alongside yourcompany.com, so any reputation problem stays away from the domain your everyday mail depends on. Each domain needs its own SPF, DKIM and DMARC records.

Your workspace send cap

On top of mailbox limits, every workspace has an overall daily send cap. New workspaces start with a low cap that rises automatically as your sending shows healthy results: low bounce rates, few complaints and real replies. You'll see the current cap in Settings → Mailboxes.

This protects everyone who shares email infrastructure with you, and it protects your domains while you learn what works. If you need a higher cap sooner, for example when moving an established team to OmniLead, contact support from the help panel.

Provider limits

Mailbox providers set their own daily limits, and they're lower for new accounts. OmniLead's caps keep you well below them. Don't treat a provider's published maximum as a target: those limits are for normal email, and cold outreach at that volume will damage your reputation long before you reach them.

What happens when a limit is reached

  • Daily cap reached: remaining sends wait until the next sending window. Nothing is dropped.
  • Outside the window: sends queue until the window opens.
  • Workspace cap reached: all sends wait for the next day. The sequence shows Waiting for send capacity.

Every queued email keeps its place, so the order of your sequence is preserved.
